Settling a Dispute

I have had a case opened against me recently as some goods I sold as they did not arrive like they should (Oh the joys of Royal Mail..)

Anyway I have refunded the gentleman's money but it says that "Name has accepted your offer. The refund will be held in your account until Name returns the item and you approve it.."

It has gone back saying it is a partial refund, but how do I approve the refund so that the gentleman can get his money?

I do not have a business PayPal account.
It's my first time dealing with this sort of thing, so apologies if this gets asked a gazilion times!!

And seeing as the gentleman has accepted my offer of the refund, will the case automatically close itself or do I have to do anything?

Also forgot to say that my PayPal balance is 0.00 - will I simply need to add the refund amount to my PayPal balance to approve the refund or will this issue it twice to the gentleman?
