Refund of shipping - deducted from supplier refund

Hi

Can anyone help please? I need to claim for 5 items sent back to Roman originals - the shipping charge of £3 per delivery is deducted from the refund given

 

Pay pal keep asking for more documentation but I don't have all the original emails as i delete them and also checked out as a guest. I just don't know what they actually want! I've tried to screenshot and that's not good enough and have also done screen shots from my Paypal account where you can see exactly what I've purchased. It clearly states in the suppliers policy that a £3 deduction will be made when items are returned, so if I have a refund on the account, surely this shows that I've sent stuff back? Also have proof of returns. In despair! Thanks
