Can a refund to customer automatically done if the customer issues refund or its manual?

Hi,

In the late November I got an order from a customer from ebay and I shipped the product. The transaction was smooth and the balance was available in my account after 21 days. But as soon as I got paid from other customer the previous transaction was refunded. Note that I have given access to that account to my employee. He's claiming that the refund process was automated. But I think it has to be manual. Can anybody confirm the process of refund? Thanks for your answer.
